General terms and conditions at UTTA Music Studio:

To ensure everything runs smoothly, we apply the following rules:

CANCELLATION POLICY

• A one-time trial lesson can be followed. If this appointment is missed and has not been canceled directly by email or directly to a teacher by a phone call at least 24 hours in advance (regardless of the reason, including illness), this lesson will be charged. The normal rate applies to the next appointment for a trial lesson.
  
• The cancellation of the lesson has tor be made directly to the teacher 24 hours before the lesson’s time, otherwise the money is not returnable.
  
• The reschedule of the lesson has to be made directly to the teacher 24 hours before the lesson’s time, otherwise the money is not returnable.
  
• If the class has to take place at another time, that has to be re-scheduled within five (5) weeks.
  

REPORT

• Registration is done by sending or delivering a signed registration form.
• By completing the contact form you agree to our terms and conditions.
• Registration does not guarantee immediate placement.
• Registrations will be automatically extended unless canceled in writing in a timely manner.
• The registration form for young people under the age of 18 must be signed by a parent or guardian. (payment obligee)
• New students receive lessons if the tuition fee has been paid in advance by bank transfer. An invoice will be sent by email at the beginning of each month.
• Registered students who cannot be placed will automatically be placed on the waiting list. You will be notified of this.
• Students who have registered will receive a confirmation of registration stating the start date. Without notice to the contrary, students are expected on this date so that they can be received as a new student.

RATES

• The rates for music lessons are listed on the website of UTTA Music Studio. These lesson rates depend on the choice of lesson package. The rates stated on the website are standard rates of UTTA Music Studio.

HOLIDAYS AND PUBLIC HOLIDAYS

• In principle, no lessons are given on public holidays. In consultation between the student and teacher, it can be decided to continue the lesson or to catch up at another time. If this is not the case, the tuition fee will not be invoiced.

CANCELLATIONS BY TEACHER

• If the teacher is forced to cancel the lesson due to force majure (illness or otherwise), the teacher will make up the lesson at another time in consultation with the student. In the event of prolonged illness of teachers (longer than two weeks), lessons will be replaced as much as possible.

PAYMENT

• Payment of the tuition fee is made via an invoice sent by email or WhatsApp, usually before the first lesson.
• If you are unable to collect the instalment amount by direct debit (reversal), you will receive a one-off written request to pay within seven days.
• If a payment is not made for the second time, the total tuition fee due is immediately due, plus € 25.00 administration costs.
• The payment obligation is entered into for the total course amount. If the payment obligation is not met or not met on time, UTTA Music Studio reserves the right to deny the student further access to the lessons. In addition, the claim is handed over to a bailiff.
• Any collection costs will be borne by the party liable for payment.

LIABILITY

• UTTA Music Studio accepts no liability for costs incurred by students due to injury, accident, theft or destruction during lessons. Exceptions are the cases in which legal liability of UTTA Music Studio is established.
• UTTA Music Studio accepts no liability for children/persons or goods that are taken without permission during rehearsals or performances.
• All texts and amounts published by UTTA Music Studio are subject to printing and typing errors.

PRIVACY STATEMENT

Anyone who registers at UTTA Music Studio for a course, lesson or workshop, leaves his or her personal details. This also applies to anyone who rents a space from us or signs up for our newsletter. We handle your personal data with care and ensure that they are stored safely. In our privacy statement we explain how we do this and what we do and do not use your data for. UTTA Music Studio only processes the personal data that is minimally necessary for the predetermined purpose. UTTA Music Studio strives for minimal data processing. Where possible, less or no personal data is processed.

Personal data is not kept longer than necessary. Retention of personal data may be necessary to properly perform administrative tasks or to comply with legal obligations.

UTTA Music Studio handles personal data with care and treats it confidentially. Employees may only use the data for the purposes for which the data was collected. UTTA Music Studio ensures appropriate security of personal data.

UTTA Music Studio does not share personal data of students or customers with third parties.

What data does UTTA Music Studio process?

We process the personal data of our students, interested parties, participants in projects and workshops, contact persons at schools or other institutions and parents. This concerns name and address details, telephone numbers, e-mail addresses, bank account numbers (in case of direct debit), date of birth. We do not request so-called special personal data and therefore do not store it.

For what purpose do we process personal data?

We process personal data on a lawful basis, usually because this is necessary for the execution of an agreement with a customer or a tenant. This includes data that is necessary for invoicing, communication about lessons (planning, etc.) and improvement of our services. If we want to use personal data for purposes other than these, we will request permission from those involved.

What means do we use to process personal data?

We use a professional administration system for processing personal data.

When do we ask for permission?

We ask (when registering) permission to use visual material (photos,

sound recordings and videos) for printed matter (posters, leaflets, flyers) or on our website or social media channels. We also do our utmost to announce photo and video moments on site. If you do not want to have your photo taken, you can let your teacher or photographer know. They will then take that into account. If a photo has been used without your permission and you do not want it, we will delete the photo in question.

How long do we keep your data?

The student administration is kept for 6 years. Only the staff in charge of the

processing the personal data also has access to the personal data. Everyone who works with personal data is subject to a duty of confidentiality.

How do we protect your data?

Our network and systems are all secured with passwords that are changed regularly. In addition, cupboards and offices are physically closed.

What rights do you have as a data subject?

As a data subject, you have the right to access, rectification, data deletion, restriction of processing, data portability, the right to object and the right not to be subject to automatic individual decision-making. If you would like to exercise any of these rights, please contact us.
